Fig. 1 PrayerOS: four workflows, two systems

PrayerOS: GHL and Notion in sync

PrayerOS connects a nonprofit's GHL and Notion both ways: urgent request alerts, a two-way contact sync, and weekly and monthly reports, all running on their own.

Overview: GHL and Notion, both ways

GoHighLevel

  • Forms
  • Texts and email
  • Contacts

Form submissions logged as linked records

Contact IDs kept in step

Status change triggers a text or email

The right people notified, once each

Weekly and monthly reports emailed

Notion

  • Requests
  • Records
  • Contacts

The workflows

  • Trigger: Request flagged urgent

    Urgent requests

The prayer team hears right away: one text each, or an email for anyone without a phone.

  • Trigger: Contact created or changed

    Contact sync

Matched by ID, then email, then phone, so nobody is duplicated. A blank field never wipes good data.

  • Trigger: Every Sunday evening

    Weekly group report

Each active group's members get their group's open requests by email. Notion decides who is in each group.

  • Trigger: Once a month

    Monthly report

A branded email of the month's praises and requests by category, built from Notion, laid out for phone and desktop.

How one request moves

  1. 01 GHL

    Form submitted

  2. 02 Notion

Saved as a linked record, new contacts created

  3. 03 Notion

    Team changes the status

  4. 04 GHL

Webhook fires, contact found or created

  5. 05 GHL

Text or email sent, once per person

  6. 06 Notion

    GHL contact ID written back

The problem

The team works in Notion, but its forms, texts and emails run in GHL. The built-in connector kept failing, and nothing done in Notion could send a message from GHL.

Built with

  • GoHighLevel
  • Custom Code actions
  • Notion API
  • Notion automations
  • Inbound webhooks
  • SMS
  • Email

What I built

  1. 01Urgent requests: the moment one is flagged, the prayer team gets one text each, or an email if they have no phone.
  2. 02Contact sync both ways: matched by ID, then email, then phone, so nobody is duplicated and a blank field never wipes good data.
  3. 03A weekly group report: every Sunday evening, each active group's members get their group's open requests by email.
  4. 04A monthly report: a branded email of the month's praises and requests by category, built straight from Notion.
  5. 05Message length checked against real carrier limits, so anything too long for a text goes by email instead.

Build notes

  1. Form submissions flow from GHL into Notion, fully linked

Every form submission now lands in Notion with the right record and contact linked, so nobody re-enters anything. One custom-code action in GHL replaced a broken native step.
